These Terms set out the rules for registration, payment, cancellation and participation in Pilango Pilates Academy trainings.
§1 General provisions
- The trainings are organised by Arcana Group sp. z o.o., with its registered office in Wrocław, ul. Księcia Witolda 38-40/U8, 50-202 Wrocław, Poland, entered in the Register of Entrepreneurs of the National Court Register (KRS) under number 0001248863, NIP (tax ID) 5851511542, REGON 545037188, share capital PLN 5,000, which runs Pilango Pilates Studio and Pilango Pilates Academy, ul. Księcia Witolda 38-40/U8, 50-202 Wrocław (the "Organiser").
- Contact with the Organiser: info@pilangopilates.com, phone +48 451 639 905.
- These Terms apply to all trainings, courses and workshops run by Pilango Pilates Academy (each a "Training").
- A Participant is a person registered for a Training. Registering means accepting these Terms.
- The dates, programme, price and venue of each Training are given in the Fitssey booking system and on pilangopilates.com.
§2 Registration and conclusion of the contract
- We accept registrations through Fitssey and, where agreed, also by email, phone or private message.
- The contract is concluded when the Organiser confirms the registration.
- A place on the Training is reserved for the Participant once payment has been received in accordance with §3. Until then the registration is provisional.
- The number of places is limited and places are allocated in the order of paid registrations.
- The Organiser may refuse a registration, or accept it only against prior payment, if the Participant has previously failed to meet their obligations to the Organiser.
§3 Payments
- The price of the Training is shown in Fitssey and covers the services listed in the Training description.
- Payment can be made through Fitssey, by bank transfer or – if agreed in advance – in cash or by card at the studio.
- The full fee should be paid no later than 14 days before the Training starts. If you register later than 14 days before the start, payment is due on the day of registration.
- The Organiser may accept a deposit of PLN 500, which reserves the place. The remaining amount must be paid by the deadline in clause 3.
- If the Organiser agrees to payment in cash on site, the Participant pays no later than before the start of the first day of the Training. Agreeing to payment on site does not exempt the Participant from the cancellation rules in §5.
- Failure to pay on time means the reservation is lost. The Organiser may then give the place to another person.
- The Organiser issues an invoice at the Participant's request. Invoice details must be provided before payment.
§4 Training materials
- The Participant receives a training manual in PDF format. We send the manual once full payment has been received or, for payment on site, on the day of the Training after the fee has been paid.
- The manual, photos, illustrations and other materials are protected by copyright and belong to the Organiser or to authors who work with the Organiser.
- The materials are for the Participant's own use only. They may not be copied, shared, sold or published, in whole or in part, without the Organiser's written consent.
- The Training may not be recorded (audio or video) without the instructor's consent.
- If the Participant has received the manual and then cancels the Training, the manual fee – equal to the price of the individual licence for that manual in the Pilango shop (currently PLN 169) – is non-refundable or, if the Participant has not paid yet, is due. A Participant who does not pay for the manual must delete it.
§5 Cancellation and change of date by the Participant
- Cancellations must be made in writing: by email to info@pilangopilates.com or by text / private message. The date and time the message is received counts.
- Refunds and transfers depend on when the Participant cancels:
| When the Participant cancels | Refund of the amount paid | Transfer to another date |
| 30 days or more before the start | 100% (less the manual fee, if the manual has been sent) | free of charge |
| 29 to 14 days before the start | 50% | free of charge, once |
| less than 14 days before the start | no refund | once, for a fee of PLN 150 |
| on the day of the Training, absence or leaving part-way | no refund | none – see clause 5 for exceptions |
- If the Participant has not yet paid in full and cancels later than 14 days before the start, they must pay the PLN 500 deposit or – if they have already received the manual and have not paid a deposit – the manual fee under §4 clause 5.
- Instead of cancelling, the Participant may name a replacement person, at no extra cost if they let us know no later than 2 days before the start.
- In unforeseen circumstances – illness of the Participant or their child, an accident – the Organiser may offer a transfer to the next date of the same Training. The decision rests with the Organiser and may depend on a supporting certificate.
- A transfer is valid for the next edition or an edition within 12 months. If not used within that time, it lapses without refund.
- A discount code or voucher used at registration is non-refundable and cannot be exchanged for cash.
§6 Cancellation or change of the Training by the Organiser
- The Organiser may cancel a Training or change its date if fewer than 6 people register, or for reasons beyond its control, such as the instructor's illness.
- The Organiser informs Participants without delay and, where there are too few registrations, no later than 7 days before the start.
- The Participant then chooses one of two options: a full refund of the amount paid within 14 days, or a free transfer to another date.
- The Organiser may replace the instructor with a person of equivalent qualifications and make minor changes to the programme that do not change its scope.
- The Organiser is not responsible for the Participant's travel or accommodation costs.
§7 Course of the Training, attendance, exam and certificate
- The Participant should attend at least 80% of the Training hours to sit the exam.
- Certified Trainings end with a practical and a theoretical exam.
- After passing the exam, the Participant receives a certificate of completion.
- If the Participant fails the exam, they may resit it once within 3 months. The resit costs PLN 150.
- A Participant who does not meet the attendance requirement may make up the missed sessions at a later edition for a fee of PLN 300 per day.
- Trainings start on time. Arriving late does not extend the session.
§8 Additional benefits
- The Training price includes 1 hour of any group class and 2 hours of studio hire for self-practice at Pilango Pilates Studio, ul. Księcia Witolda 38-40/U8, 50-202 Wrocław. These benefits are available only in person at the studio – they are not offered online and cannot be exchanged for cash. They can be used within 3 months of the end of the Training, by prior booking.
- Further self-practice hours are charged:
- PLN 70/h – after completing 1–3 trainings at Pilango,
- PLN 60/h – after completing more than 3 trainings at Pilango.
- The lower prices apply for one year from the last completed training.
- The Participant is added to the Training's closed group. The Organiser may remove from the group anyone who has cancelled the Training or breaks the group rules.
- The benefits in clause 1 are available only to a Participant who has paid for and taken part in the Training. Cancelling before the start gives no right to them.
§9 Health and safety
- The Participant takes part in the practical part at their own risk and declares that they have no health contraindications to physical exercise.
- Before the Training, the Participant informs the instructor of any injuries, pregnancy, illnesses or other limitations that may affect the exercises.
- The Participant follows the instructor's directions and the rules for using the equipment.
- The Participant is liable for damage to the studio's equipment or fittings caused through their fault.
- The Organiser is not responsible for items left at the studio.
§10 Image
- During the Training, the Organiser may take photos and recordings for training and promotional purposes.
- We publish a Participant's image only with their consent, given at registration or at the start of the Training. Consent can be withdrawn by email at any time.
§11 Consumer rights and withdrawal from the contract
- A Participant who is a consumer and registered at a distance (Fitssey, email, phone) may withdraw from the contract without giving a reason within 14 days of its conclusion. They then receive a full refund within 14 days of submitting the statement.
- The same rights apply to a sole trader if the contract is not of a professional nature for them.
- If the Training starts before 14 days have passed since registration, the Participant expressly requests at registration that the service begin before that deadline. If they withdraw after the Training has started, they pay for the part of the service performed up to the moment of withdrawal.
- The PDF manual is digital content. A Participant who, before the 14 days have passed, consents to it being sent and acknowledges the loss of the right of withdrawal in this respect cannot withdraw from the contract as regards the manual.
§12 Complaints
- Complaints about a Training can be sent by email to info@pilangopilates.com within 14 days of its end.
- A complaint should include the Participant's full name, the name and date of the Training and a description of the issue.
- The Organiser responds to a complaint within 14 days of receiving it.
- Any compensation, such as a discount code or voucher, is one-off and closes the complaint. It cannot be exchanged for cash.
§13 Personal data and final provisions
- The controller of Participants' personal data is the Organiser. We process data to deliver the Training, issue invoices and contact the Participant, in accordance with the GDPR. Details are in our privacy policy.
- These Terms apply from 1 September 2026 and are available on pilangopilates.com and in Fitssey.
- The Organiser may amend these Terms. Changes do not apply to Trainings the Participant registered for before they were introduced.
- Matters not covered by these Terms are governed by the Polish Civil Code and the Consumer Rights Act.
